A preparation checklist for launching a new Westmarches campaign.

1. Technical Setup (15–20 min)

VTT Log-In & Access Check

  • Ensure everyone can log into the Virtual Tabletop (VTT)
  • Confirm character sheets, dice rollers, tokens, etc. are working
  • Test voice/video/chat if used

Mod & Extension Setup

  • Verify modules or plugins are installed and working
  • Troubleshoot any access or visibility issues

2. Table Expectations & Safety Tools (10–15 min)

Problematic Content & Lines/Veils

  • Discuss boundaries and preferred tone
  • Introduce safety tools (X-card, check-ins, etc.)

Player Goals & Style Discussion

  • Check in on player preferences (combat, roleplay, mystery, etc.)
  • Establish tone: cinematic, gritty, or comedic

3. Character Creation & Importing (20–30 min)

  • Help players finalize or build characters
  • Import sheets into VTT
  • Verify mechanical features (inventory, abilities, etc.)

4. Game Structure & Setting Intro (15–20 min)

Rules Overview & Game Flow

  • Give high-level rules summary and session flow
  • Show where to find resources (site, docs, rulebook)

World Primer

  • Describe the setting and factions
  • Share established lore or major NPCs

Collaborative Worldbuilding

  • Invite players to add hometowns, rumors, etc.
  • Tie backgrounds into the setting

5. Themes, Stakes, and Party Questions (15–20 min)

  • Establish group goals and story direction
  • Ask what characters want, fear, hope for
  • Build ties between characters (e.g., saved each other)
  • Set expectations on session pace and rules style

6. (Optional) Intro Encounter / Scene (15–30 min)

  • Run a soft intro (arrival, tavern, key NPC)
  • Focus on vibe and character introductions

Optional: After-Session Tasks

  • Assign backstory writeups or player goals
  • Share calendar, Discord, notes, etc.
